Editorial Process Redesign for a Digital Marketing Agency

G Web Pro, a digital marketing agency, struggled with production bottlenecks in its distributed content teams, which led to inefficient quality control processes.

I redesigned their editorial workflow and created an automated quality scoring system, which resulted in a 74% efficiency gain and an 87% reduction in production costs.

MY PROCESS

Uncovering Process Inefficiencies

Through a mix of surveys, interviews, and hands-on shadowing, I discovered why our content QA was struggling. The numbers told a clear story: we were 55.7% over budget, with 70% of those costs coming from unnecessary meetings and training. Even worse, editors were creating their own workarounds just to keep up, leading to inconsistent content quality.

MY WORK

Creating a Streamlined Editorial Framework

Standardizing the Editorial Process

I created a clear, codified system for content corrections, defining each edit type and its impact. By assigning specific codes to common edits, we made communication between writers and editors more efficient and precise.

Building the Quality Scoring System

I developed a smart scoring tool that analyzed the complexity of edits against draft length, automatically generating quality scores and time estimates. The system made budgeting crystal clear: scores under 3 meant we were under budget, 3.1-3.9 was on target, and anything over 4 signaled we needed to adjust our approach.

THE RESULTS

A Transformed Content Operations

The results were game-changing: efficiency jumped by 74.70% thanks to our streamlined standards and improved communication. By cutting back on excessive meetings and unnecessary clarifications, we slashed production costs by 87%, turning a bottlenecked process into a lean content machine.
